The Role of the Benefiting Organization
In representing the organization that is benefiting from the Eagle Scout Service Project, you play an important role. The Scout works and communicates with you to develop the Eagle Scout Service Project Proposal. In your role, you should be clear about the key aspects of the proposal generated by the Scout; so that the scope and timing of the project, as well as funding, are understood by both of you. Your mutual collaboration will set clear expectations for what is to be done and on what timeline. The goal is to eliminate any misunderstanding, as the Scout must follow a process and doing so may increase the time from start to finish. Once the Project Proposal is approved, it is highly recommended that the Scout next completes the Project Plan. The Project Plan takes the concept of the Project Proposal and breaks it down into much detail for materials, supplies, and tools needed, costs and funding, logistics and safety considerations. The Project Plan should be reviewed with you prior to the Scout commencing actual work.
If the Scout needs to raise funds for the Eagle Scout Service Project a Fundraising Application may be required based on the type of fundraising planned or the solicitation of material donations or discounts from stores/suppliers. A Scout may also conduct a crowdfunding type of fundraising. If so, the funds raised must go directly to your organization to be held until the Scout needs it for purchasing materials or supplies for the project.
After the Scout completes the project, the Scout will ask you to sign off on the Project Report. This section details what actually did occur, any challenges and final expenses and hours worked.
There may be a delay in the start of the project as the Scout needs to review and secure approval so that the work is done in accordance with Scouting America guidelines. If you have any questions, please feel free to contact the Scout’s unit leader or the District Advancement Chair.
